Privacy and security
Visionote™ organises personal and professional information. This document explains which data the service uses, where it is processed and which choices remain under your control.
The data journey
From your message to organised memory.
When you add a message, voice note or document, Visionote™ keeps the original and uses artificial-intelligence services to interpret it. The text needed for that operation is therefore sent to the providers processing the request.
We use paid API services: prompts and responses are not used to train models. Some providers may retain them for a limited period solely for security and abuse prevention; Visionote™ does not enable content logging at the AI intermediary.
Each request contains the message being processed and only the fragments relevant to the question or action — not the entire archive, and never data belonging to another account.
Access
Content is not part of everyday administration.
Normal operation, cost monitoring and commercial support do not require anyone to read user conversations.
The administration panel shows usage, costs and service status, but it does not display conversation content.
Exceptional access may be needed only to resolve a problem reported by the user or a security incident. It requires a recorded reason and leaves an audit trail of who accessed the content and when.
Channels
Telegram or the web application.
If you use the bot, messages also pass through Telegram’s servers and are subject to that service’s terms.
The web application lets you use Visionote™ without sending content through Telegram. You may use both channels and choose the appropriate one each time.
Retention
What we keep, and for how long.
Original sources
The message as written, the audio file or the document remains until you delete it. Sources make every extracted item verifiable.
Extracted information
Tasks, waiting items, decisions, people and dates remain while they are useful, until you close or delete them.
A search index
Numerical representations allow information to be found by meaning rather than exact wording. They are derived from your content and follow its lifecycle.
Physical location
Primary storage is on our servers. AI processing may take place on infrastructure outside the EU.
Technical metrics
Operation cost, duration and failures are recorded without the text of messages or responses. These metrics are used to operate and account for the service.
Leaving
Take everything with you, or delete everything.
You may export your data at any time and delete a single item, a source or the entire account. Account deletion removes items, sources, attachments and search indexes and cannot be undone.
Backups follow a rotation cycle. Data deleted today disappears from encrypted backups within thirty days; during that period it exists only inside the backup and is not opened for ordinary access.
Structural choices
Users pay for the service — their data does not.
No sale of data
Subscriptions are our business model. Content and personal information are not sold or transferred for commercial purposes.
No advertising profiles
Visionote™ contains no advertising and does not build profiles to target advertising elsewhere.
No third-party trackers
No Google Analytics, pixels or third-party cookies. Fonts are served from our own domain as well.
Recorded and justified access
Any exceptional access to content requires an operational reason and leaves an audit trail.
Your rights
In practical terms.
Processing follows the European General Data Protection Regulation. You may ask what data we hold, receive a readable copy, have it corrected or deleted, or object to processing. We respond within thirty days.
